Job Title: Ambulatory EHR Project Manager


Job Description:


The Ambulatory EHR Project Manager leads the planning and deployment of the Hospital and Clinics Epic Electronic Health Record (EHR), including both practice management and EHR, to outpatient clinical areas including New health system sites, University Healthcare Alliance (UHA) medical foundation practice locations, Affiliated independent physician practices and Employer-based clinics:


  • The Project Manager will direct and manage a team of matrixed analyst resources for ambulatory Epic build, training, interface development, etc
  • The Project Manager will oversee the day to day project management and ensure the successful implementation of EHR and/or practice management
  • He or she will interface with various, UHA, employer, and other partners, stakeholders, and customers to plan and track implementations
  • The project manager will use Lean management methods to ensure standard work practices within implementation teams
  • Primary accountability is for the successful delivery of these implementations and ensuring a high level of customer satisfaction for the solution and the health system experience
  • Develops full-scale project plans and associated communication documents
  • Leads and manages operational and tactical aspects of multiple and/or large scale projects from beginning to end
  • Plans, schedules, and tracks project timelines, milestones, and deliverables using appropriate tools; ensures projects are completed on time and within budget
  • Lead the maintenance of up-to-date project documentation for all initiatives that include technical details, user expectations, project goals, work effort, accountability, and deliverables
  • Lead project steering committee meetings with appropriate content related to project progress, risks, issues, mitigations and any other items that require steering committee actions
  • Communicates project expectations to project resources and stakeholders
  • Collaborates with peers, developers, subject matter experts, and other stakeholders
  • Provides input in the development of project management protocols, procedures and guidelines
  • Research issues and recommend options (including alternative solutions when necessary to address system limitations) to complex and/or controversial matters, including pros, cons, risks, benefits, costs, and unintended consequences
  • Lead smooth coordination and turnover of projects both at the initial stage and project end/conclusion
  • Maintains professional skill levels and keep informed of changes in technology that may affect EHR systems and its users
  • Prioritizes and manages multiple priorities and deadlines across many competing and concurrent tasks
  • Manages risk and utilize creative problem solving techniques
  • Anticipates, creates and facilitates planned and unplanned changes
  • Maintains a strong understanding of technology and its application to achieve medical and business objectives
  • Supports marketing efforts and other educational events as assigned
  • Perform miscellaneous job-related duties as assigned

Job Qualifications:


  • Education: Bachelor's degree or equivalent work experience
  • Experience: 5 or more years of progressively responsible and directly related work experience
  • Prefer 4 years of large scale project management experience in the health care industry
  • Prefer project management experience with Epic
  • Prefer experience in process improvement
  • Knowledge, Skills, and Abilities Healthcare background, experience and performance that promotes a high level of credibility with clinical professionals
  • Knowledge and understanding of goals and the interdependencies of functional departments and groups (in health care industry) and the ability to lead large-scale complex IT projects
  • Knowledge and understanding of needs, goals, deliverables and interdependencies of various functional groups and departments in a health care environment
  • Excellent written, oral, instructional, presentation and interpersonal skills focused on motivation and positive attitude
  • Highly self-motivated, directed and change oriented
  • Very strong customer orientation
  • Knowledge of current issues and trends in health care and clinical operations in a health care system
  • Ability to apply judgment and make informed decisions
  • Ability to develop programs and lead process improvement projects
